Transcription AI Privacy Policy
Effective Date: October 6, 2025
Overview: Your Privacy at a Glance
Welcome to our privacy policy. We've designed this page to be as clear and straightforward as possible. Our goal is to provide you with the essential information about how we handle your data without overwhelming you with legal jargon. Use the navigation to jump to any section that interests you.
✅ No Content Used for Training
We will never use your audio, video, or transcript data to train our AI models.
✅ Files Deleted Immediately
Your uploaded audio and video files are permanently deleted right after transcription is complete.
What Information Do We Collect?
To provide our service, we need to collect a few different types of information. We've broken them down for you below.
Account & Billing Data ▶
Account Data: Your name, email address, and a hashed (securely scrambled) version of your password.
Billing Data: If you subscribe, our third-party payment processor securely handles your payment card details and billing address.
Content Data (Your Files & Transcripts) ▶
This is the most sensitive data and the core of our service. It includes the audio/video files you upload, the transcripts generated from them, and any edits you make.
Usage & Analytics Data ▶
We collect anonymous data about how the app is used to help us fix bugs and improve performance. This includes your device type (e.g., browser, OS), IP address, and interaction data (e.g., features used, file sizes).
How Do We Use Your Information?
Our use of your data is focused on providing and improving the service you signed up for.
To Provide the Core Service
We use your Content Data to transcribe your files and allow you to store and manage the resulting transcripts.
For Your Account & Communication
We use your Account Data to manage your subscription, process payments, and send you important service updates or security alerts.
Our Data Security Commitment
We use anonymized usage data to monitor app performance. Crucially, we commit to never using your Content Data (files or transcripts) to train our AI models. Your content is yours alone.
How Do We Protect & Store Your Data?
Security and data minimization are core principles. Here's our approach to both.
🛡️ Security Measures
- Encryption: All your data is encrypted both in transit (while uploading/downloading) and at rest (while stored on servers).
- Access Control: Only essential, authorized personnel and automated systems can access data, and only when strictly necessary.
🗑️ Data Retention Policy
- Audio/Video files are immediately and permanently deleted after transcription.
- Transcripts are stored until you delete them or your account.
- Account data is kept as long as your account is active.
Who Do We Share Data With?
We do not sell your data. We only share it with essential partners who help us provide the service, or when legally required.
Core Service Processors: We use Replicate to perform the AI transcription. Your audio/video files are sent to them for processing and are immediately deleted from their systems afterwards, just like from ours.
Other Service Providers: We use third-party services for cloud hosting (to store transcripts securely) and payment processing. They are legally and contractually bound to protect your data.
Legal Requirements: We may disclose information if required by law to comply with a legal obligation.
What Are Your Data Rights?
You have control over your personal information. Depending on your location, your rights include:
Transcription AI Terms of Use

However, by uploading content, you grant **Transcription AI a limited, non-exclusive, revocable license** solely for the purpose of performing the Service (i.e., transmitting, processing, and generating the transcript).
As confirmed in the Privacy Policy, this content is **never** used for model training.
Prohibited Conduct & Abuse ▶

Any activity to **hack, abuse, or engage in malicious activity** directed at the Service or its infrastructure is strictly prohibited and will result in immediate termination of your account and legal actions being pursued against the user.

Subscriptions, payment processing, and cancellations are handled through the relevant **App Store's policies** (e.g., Apple App Store or Google Play Store).
All fees paid are non-refundable. We do not offer refunds for cancellation or unused portions of the service.
Disclaimer: Accuracy and Warranty ▶
The Service is provided on an "as-is" basis.
We do not guarantee the accuracy of any transcripts generated. Transcription results are dependent on audio quality and AI performance and may contain errors.
We disclaim all warranties, express or implied, including fitness for a particular purpose.
Intellectual Property of the Application
